Gemini for Google Workspace Review: What Business Teams Get in 2026

Verdict: If your company already runs on Google Workspace, Gemini is the obvious place to start, because it comes built into Business Standard and higher plans with no separate AI seat to buy. It is best for teams that want help inside Gmail, Docs, Sheets and Meet. Skip it as your main assistant if you run on Microsoft 365, or if you need agents that work deeply across non-Google systems and are not ready to buy Gemini Enterprise separately.

Clustr trains business teams on several AI assistants, including this one; this review reflects what we see work in those programs.

What is Gemini for Google Workspace and what does it cost?

Google no longer sells Gemini as a separate Workspace add-on for most customers. Gemini features are bundled into Workspace plans, and how much you get depends on the plan. Prices below are list prices per user per month on an annual commitment, as of October 2026, from the Google Workspace pricing page. Google says the annual commitment saves 16% compared with monthly billing, and it is currently advertising an introductory discount for new customers, so check the page for the exact figure you will pay.

PlanPrice (as of Oct 2026)Gemini includedWatch out for
Business Starter$7/user/monthGemini app, Gemini in Gmail, basic Gemini NotebookNo Gemini in Docs, Sheets, Slides, Drive, Meet or Chat
Business Standard$14/user/monthGemini in Docs, Sheets, Slides, Drive, Meet and Chat, expanded Gemini NotebookBusiness plans capped at 300 users
Business Plus$22/user/monthSame AI features as StandardYou pay more for non-AI features

Per the pricing page, Starter includes up to 3 Audio Overviews per day in Gemini Notebook, while Standard and above get up to 20 and access to Google's most capable models. Google also lists an AI Expanded Access add-on for higher limits on Workspace Studio and image and video generation. Google's add-on comparison describes the limits, and we did not find a public price for it.

Gemini Enterprise is a separate product

Google also sells Gemini Enterprise, which goes beyond Workspace. It connects to more than 100 systems, including Microsoft 365, Slack, Salesforce, ServiceNow, Jira and HubSpot, under each user's existing permissions. Google's editions documentation lists Business, Standard, Plus, Pay-as-you-go and Frontline editions, with Deep Research available in all of them and no-code agent tools in preview. Google does not publish per-seat prices on those pages, so treat it as pricing on request. Google offers a 30-day no-cost trial of the Plus edition, and says some capabilities, including background tasks and desktop and mobile apps, are still in early access.

    Where is Gemini strong?

It is already paid for. For most Workspace customers on Business Standard or higher, Gemini is part of the subscription. That removes the hardest conversation in many AI rollouts, which is justifying a second per-seat license before anyone has proven value.

It works where people already are. Gemini in Gmail summarizes threads and drafts replies, Docs creates formatted first drafts, Sheets builds tables from plain-language prompts, and Meet takes notes so people can focus on the conversation, per Google's Workspace AI page. Low-friction features like meeting notes and email summaries tend to be where adoption starts.

Gemini Notebook for research and onboarding. Teams can turn trusted files into summaries, Audio Overviews, mind maps and video overviews. It is useful for policy documents, product material and new-hire onboarding, where the source files already exist.

No-code automation with Workspace Studio. Workspace Studio is Google's place to automate work and design, manage and share AI agents in Workspace, with no coding required. It is generally available on all Business and Enterprise Workspace plans and grew out of the earlier Workspace Flows alpha.

Data controls IT already knows. Google states that Workspace data is not used to train Gemini models or for ads targeting, that Gemini only retrieves content the user can already access, and that existing DLP, IRM and client-side encryption controls apply, per its AI page.

    Where does Gemini fall short?

    • Starter is thin. On Business Starter, Gemini is limited to the Gemini app and Gmail. If your company standardized on Starter to save money, most of the in-app features are not there.
    • The packaging is confusing. Gemini in Workspace, the Gemini app, Gemini Notebook, Workspace Studio, the AI Expanded Access add-on and Gemini Enterprise are related but sold differently. Teams often do not know what they have.
    • Reaching non-Google data costs more. Connecting agents to Salesforce, Microsoft 365 or ServiceNow points you to Gemini Enterprise, which is a separate purchase with no public price.
    • Some agent features are still early. No-code agent building in Gemini Enterprise is in preview and several capabilities are in early access. Plan pilots, not company-wide promises.
    • Included tools get ignored. Because nobody bought Gemini as a project, nobody owns its adoption. We see licenses switched on by default and used only for occasional email drafts.

What this looks like in practice. The usual gap with Gemini is habit, not access. People know Gemini is there, use it a few times for an email, and stop because nobody showed them how it fits a weekly task like a client update, a budget review or a project status report. The tool rarely blocks progress; the lack of shared examples does. That is why the rollout steps below focus on a few named workflows per team rather than a feature tour, and why we suggest measuring use by team instead of by license count.

Who should buy Gemini for Google Workspace?

    • Use it now if you are on Business Standard, Plus or Enterprise. You already pay for it, so the question is training, not purchase.
    • Upgrade from Starter if teams need AI in Docs, Sheets and Meet, and compare that cost with buying a separate assistant.
    • Look at Gemini Enterprise if you want agents that work across Google and non-Google systems, and budget time for a sales conversation and a pilot.
    • Skip it as your main assistant if your company runs on Microsoft 365. Copilot or a standalone assistant will fit your stack better.

How to roll it out so people use it

Bundled AI has a specific failure mode: it is on, so leaders assume it is being used. Our article on why AI rollouts stall covers the general pattern. For Gemini, this sequence works:

    1. Confirm which Workspace plan each group is on and what that plan includes, before announcing anything.
    2. Start with two or three daily habits, such as Meet notes, Gmail summaries and Docs first drafts, and show them in each team's real work.
    3. Build a small set of shared Workspace Studio flows for recurring tasks like meeting prep or inbox triage.
    4. Use Gemini Notebook for one high-value knowledge set, such as onboarding or product documentation.
    5. Train champions in each department and give them time to help colleagues.
    6. Measure active use and time saved by team, then decide whether Gemini Enterprise or another tool is worth adding.

Clustr runs Gemini training for business teams, along with broader AI training for employees and an AI champions program. If you want to know where teams start, our assessment gives you a baseline, and adoption measurement tracks whether the rollout is working.

    Common questions

Is Gemini included in Google Workspace?

Yes, for most plans. As of October 2026, Business Standard, Business Plus and Enterprise include Gemini in Docs, Sheets, Slides, Drive, Meet and Chat. Business Starter includes the Gemini app and Gemini in Gmail, with limited features elsewhere. There is no separate Gemini seat to buy for these features, though Google lists an AI Expanded Access add-on for higher limits.

How much does Gemini for Google Workspace cost?

Gemini comes with the Workspace plan. As of October 2026, list prices on an annual commitment are $7 per user per month for Business Starter, $14 for Business Standard and $22 for Business Plus. Enterprise pricing is on request. Monthly billing costs more, and Google is advertising introductory discounts for new customers, so check the pricing page.

What is the difference between Gemini in Workspace and Gemini Enterprise?

Gemini in Workspace is the AI built into Gmail, Docs, Sheets, Meet and the Gemini app, bundled with your Workspace plan. Gemini Enterprise is a separate Google Cloud product that connects to more than 100 systems, including Microsoft 365, Slack and Salesforce, and includes Deep Research and no-code agent tools. Google does not publish per-seat prices for it.

Can business users build AI agents in Google Workspace?

Yes. Workspace Studio lets people automate work and design, manage and share AI agents without coding, and it is generally available on all Business and Enterprise Workspace plans. For agents that reach non-Google systems, Gemini Enterprise offers no-code agent tools, which Google lists as a preview feature.

Does Google use our Workspace data to train Gemini?

Google states that Workspace data is not used to train Gemini models or for ads targeting, and that Gemini only retrieves content a user already has permission to see. Existing controls such as DLP, IRM and client-side encryption can limit what Gemini can access. Review these settings with IT before a wide rollout.
